Overview
Location: Colorado Springs, Colorado
Job Title: Business Logistics Coordinator
Compensation: Full-Time, non-exempt, hourly.  Commensurate with industry standard and experience
Shift: M-F, Days. Approximately 8:30AM to 5PM daily. Two 15-minute paid breaks, and one 30-minute unpaid lunch.  This position will require support before and after business hours. Overtime is paid at 1.5 times the regular hourly rate.
Travel: Local travel in El Paso County to support event coordination and facility support.  Most travel is within a mile of Braxton downtown locations with a few events within ~10 miles.  Occasional US travel is possible.


Position Description

In this role, the ideal candidate will support coordination activities for Human Resources (HR), Information Technologies, and Corporate Services.  This position is matrixed but reports to the Director of HR.  Conflicts and task priority are assigned from the Director of HR.   


Human Resources, 60%

Supports the Director of HR in these areas:

Continuously:

  • Acts as the first responder to HR Helpdesk tickets
  • Assists employees and supervisors with basic interpretation of benefits, policies and procedures

As Needed:

  • Performs HRIS data entry and personnel file maintenance
  • Coordinates and participates in interviews
  • Creates offers letters and coordinates pre-employment screens with candidates
  • Champions the Employee Activity Committee
    • Creates calendar invitations, sets meetings, sets agenda
    • Participates in the meeting, engages activity members
    • Assists in the planning, budgeting, and execution of approved events
  • Supports payroll team with bi-weekly payroll processing
  • Creates the Monthly Employee Newsletter with input from each major function of the Company
  • Supports preparation of job descriptions, posts jobs as requested
  • Assists with benefit administration
  • Supports in-processing and onboarding


Information Technology, 10%

Supports the Director of IT and Cybersecurity in these areas:

  • Coordinates the internal purpose order process: internal generation, financial approval, ordering, confirmation of product receipt
  • Provides quality assurance of IT helpdesk responses to ensure prompt and professional support to the employee base


Corporate Services, 30%

Supports the Director of Corporate services in these areas: 

Frequently:

  • Acts as the back-up for the Corporate Services Coordinator:
      • Covers main phone line, answers the exterior entrance phone for admission into suite
      • Welcomes visitors, determines the nature of business, and announces visitors to appropriate person
      • Performs general clerical duties to include copying, scanning, faxing, filing, scheduling meetings, organizing food and beverages for meetings, sorting, distributing and preparing mail, and creating name tags
      • Back up for scheduling company travel to include hotel, air and car arrangements and will assist if someone is having travel difficulties
  • Assists with maintaining inventories for office supplies and snack program to include frequent stocking and ordering of food and office supplies
  • Manages the company parking lot to include parking pass assignment and towing vehicles
  • Acts as the primary interface with property management for assigned establishments:
    • Asset Tracking
    • Submits work orders to internal system or property management and follow up as necessary

As Needed:

  • Runs errands as needed with personal vehicle (mileage reimbursed)
  • Manages conference room schedules to include conference calls and appointment set-ups
  • Maintains copiers (toner/paper) and aids in printing and/or binding documents
  • Assists with corporate mailing (newsletters, announcements, etc)
  • Supports the entire lifecycle of events and projects. Assistance may include creation of invitations, name tags, scheduling. Many events are located offsite.  Annual event examples include the National Space Symposium and the holiday party.  Special project support will include personnel moves.


Required Qualifications and Skills

  • Must be a US Citizen
  • Must maintain a very high level of confidentiality
  • Must have a reliable personal vehicle and an acceptable clean driving record
  • Must be able to successfully pass a reference check
  • Ability to lift 30 pounds without accommodation
  • Must be available to work earlier or later than the business operating hours and days depending on event support

If this position requires a government clearance, the applicants selected will be subject to a government security investigation and must meet eligibility requirements for accessing classified information.


Additional Required Qualifications and Skills

  • Must take initiative and use good judgment to respond quickly to changing situations and business needs in a multi-executive, multi-office environment

  • Must have a working proficiency in Microsoft Excel, Word, PowerPoint, and Publisher

  • Must be reliable & dependable
  • Must possess basic reading, writing & arithmetic skills
  • Be adept in handling office equipment such as computers, faxes, scanners, shredders and copiers
  • Must be willing to learn other skills, as necessary


Minimum Experience/Education:

  • High School Diploma and 4+ years, or bachelor’s degree and one-year work experience
